How to Export Power BI Dashboard to Excel or GoogleSpreadsheets

Step 1

To start exporting your data from Power BI dashboards first log in to your Microsoft Account, take a look at the left-hand menu and click My workspace

You’ll see the following image with all your datasets, reports and dashboards listed and visible. Choose the dashboard you’d like to export.

Step 2

You’ll see your existing dashboard open up in a matter of seconds. Now there is an in-built function called Share which is accessible right at the top of your Power BI dashboard. If you’re a paying member of the Power BI Pro package you can joyfully start exporting your dashboard right away, but if you’re not, don’t even sweat, as exporting data from your dashboards is still quite possible.

All you have to do is go to an individual visualization you’d like to use, float over its right-hand corner with a cursor until you see the three-dot-sign appear (). Press it. 

Step 3

Now choose Export to .csv and in a blink of an eye, your data is exported. This file can be imported into the data processing tool of your choosing like Excel or Google Spreadsheets, for example. In order to open your Power BI dashboard file in the Google Spreadsheets editor, follow this short instruction. 

Step 4

Go to your new or existing Google Spreadsheets file > File > Import > Upload > Select a file from your device > Open. 

Step 5

Configure your preferred settings and press Import data. Hurray! — You’ll see your Power BI dashboard visualization in a table spreadsheets format. In order to open your PowerBI data files in Excel, follow the same procedure.   

How to Export Power BI Report to Excel or GoogleSpreadsheets

Step 1

There are two ways to export your PowerBI report data for further analysis – one visualization at a time or the whole report in general. Let’s take a look at each of them in particular.

To start exporting a piece of the PowerBI report open the desired report > Pages > Overview

Step 2

Here choose the visualization piece you wish to export and float your cursor right under the visualization’s title until the tiny menu appears. Here choose the three-dot-sign (…) > Export data > Choose summarized or underlying data > Choose .xlsx or .csv file format > Export.

Step 3

Go to your brand new or current Google Spreadsheets file > File > Import > Upload > Select a file from your device > Open. 

Step 4

Configure your preferred settings and press Import data. Yahoo! — You’ll see your Power BI report visualization in a table spreadsheets format. In order to open your PowerBI data files in Excel, follow the same last two steps after your data has been exported. 

Step 5

If you do not wish to export PowerBI report data file by file, here’s a trick to export the whole report at once. In order to do so go to your desired report > Pages > Overview. Here look at the top bar menu and find an option called Export.

Here you have 3 options: export your PowerBI report to PowerPoint, to PDF and to Excel. The first two missions can be accomplished quite quickly and painlessly while exporting to Excel of the whole report is only possible if you’ve splurged on the PowerBI Pro package 🙁
